Job Description
About the Role - You will provide comprehensive administrative support to the Trading team, including managing travel arrangements, visa applications, expense reporting and office supplies. Additionally, the position involves providing high-level, confidential secretarial support to the Senior Corporate Executive (SCE) with approximately 20% of responsibilities focused on managing and providing household and personal support matters.
Key Responsibilities:
• Provide support to the Heads of Department in the Trading Division with travel bookings on flight and accommodation for their business travels.
• Support the Heads of Department in the submission of travel expenses and claims through Workday.
• Responsible for providing support to internal and external overseas delegations whenever they are in Singapore for meetings with the Trading Team.
• Collate expense reports for all business travel.
• Organise team bonding activities and Department events and gatherings for the Trading Department.
• Manage and maintain office supplies and inventories such as stationeries and office equipment for the Trading Department.
• Liaise with HR/Admin on feedback of office admin, furniture & fittings.
• Work alongside the Personal Assistant to SCE, and serve as a back-up in ensuring efficient and smooth functioning of the SCE’s household matters.
• Perform additional administrative tasks and special assignments as assigned by the SCE.
• Handle any other ad hoc matters relating to the Trading Department.
Job Requirements:
• Min Diploma in Business Administration or equivalent
• Relevant secretarial certifications can be considered
• Min 5 years in a similar position
• Proficient in MS Office Applications
• Pro-active and resourceful, with the ability to anticipate needs and take action before issues arise.
• Highly organised, discreet and able to manage sensitive information with confidentiality.
• Excellent communication and interpersonal skills.
• Flexible and adaptable to changing schedules and requirements.
