Position Overview
We are seeking a proactive and detail-oriented Administration professional to support the smooth operation of our office and business activities. Administration functions serve as the backbone of the company, where every task plays a critical role in ensuring seamless operations. Through these responsibilities, you will gain a comprehensive understanding of the company’s business and internal processes. This role also requires frequent communication with a wide range of stakeholders, both internal and external, providing an excellent opportunity to develop strong coordination and interpersonal skills.
Key Responsibilities
Office Operations & Environment Management
- Maintain a safe, clean, and well-functioning office environment
- Monitor office conditions (e.g., temperature, facilities, hygiene, pest control)
- Manage office layout, equipment, and overall workspace functionality
Supplies & Inventory Management
- Procure and manage office supplies and consumables
- Monitor stock levels and ensure timely replenishment
- Manage medical supplies and emergency kits
Facility & Vendor Coordination
- Coordinate with external vendors and service providers
- Manage office services, maintenance, and facility-related operations
- Ensure quality and continuity of office services
Employee Support & Office Services
- Arrange office refreshments (snacks, beverages, fruits, etc.)
- Support employee welfare-related services
- Maintain a comfortable and productive workplace environment
Reception & Visitor Management
- Handle visitor reception and guest support
- Coordinate meeting room arrangements and hospitality
Security & Asset Management
- Support office security operations (access control, entry management)
- Manage company assets such as laptops, tablets, and mobile devices
General Administrative Support
- Support daily general affairs operations
- Assist in improving and streamlining administrative processes
- Ensure stable and efficient office operations
