Job Description

Who We Are Looking For? As a Store Development Administrative Assistant, he/she will provide administrative and coordination support to the Store Development team, ensuring assistance on smooth execution of renovation projects, owning tender processes, operational communications, Permits applications Adhoc Graphics Printing and other pertinent administrative works. What Awaits You: Project Coordination Support • Assist in the preparation and distribution of RFQs (request for Quotations), tender evaluations, and award notifications for renovation projects • Assist in all new stores opening, minor refit and major refit with collaboration with SD project executives and project managers. (i.e. Collating and preparing the documents, ptw, insurance request per project) • Track and follow up on project documentation, including approved POs and termination notices Administrative Support • Maintain organized records of project communications and documentation. • Liaise with internal teams and external vendors to ensure timely updates and responses on daily maintenance request • Ensure adherence to Corporate Policies in the documentations/process needed in awarding of contracts • Assist in graphic printing for POG change • Warehouse Inventory monthly updating • Assist to check invoices and verify variation orders prior to process payment upon completion of project • Assist on special projects roll-out and implementation • Assist on administrative work (capex, PO, diposals forms, transfer forms and filing) • Perform any other duties as assigned by Management Communication & Reporting • Draft and circulate project updates and evaluation summaries to relevant stakeholders • Coordinate with buyers, analysts, and project executives to ensure alignment on project timelines and deliverables. We Are Excited About You If You Have: • Minimum GCE ‘O’ level with 1 year of relevant admin experience in FMCG/retail/construction industry • Attention to detail, meticulous, analytical with excellent problem-solving skills, proactive • Able to work independently, team player & able to meet tight deadlines • Committed and willing to work during weekends, public holidays and night works when required • Familiar with tendering, contracts administration, procurement and renovation workflow would be an advantage • Proficient in MS Excel and Basic knowledge in Word & Powerpoint • Excellent written and verbal communication • Possess good negotiation and coordination skills • Strong organization and multitasking abilities Why Should You Join Watsons?
