Job Description Major Responsibilities / Activities Executive Support – Regional President (Primary Scope) • Provide full spectrum of secretarial and administrative support, including complex calendar management, prioritization, and coordination. • Prepare and develop presentations, management reports, briefing notes, meeting packs, and follow‑up trackers. • Manage confidential matters (HR, strategic, commercial) with utmost discretion. • Coordinate regional and global communication across internal and external stakeholders. • Handle selected personal matters as required (e.g., accommodation, travel, household administration, visa/family arrangements).Support to CFO (Secondary Scope) • Provide administration and scheduling support including document preparation and meeting logistics. Support To Other Heads Of Department (Subject To Capacity) • Coordinate meetings, reviews, and cross‑functional updates. • Assist in preparing documents, collating materials, and tracking department‑level follow‑ups. • Support special projects and cross‑regional initiatives. Travel, Logistics & Operations • Manage end‑to‑end domestic and international travel arrangements, including visas, accommodation, transportation. • Prepare comprehensive executive travel itineraries. • Process expense claims and ensure compliance with corporate financial guidelines. • Manage logistics for internal meetings, external engagements, conferences, and leadership offsites. Executive Office Coordination • Serve as the central coordination point for the Executive Office. • Ensure timely flow of information between regional, country, and global teams. • Maintain structured digital and physical filing systems. • Support ad‑hoc projects assigned by senior leadership. Job Experience & Requirements Integrity, Confidentiality & Professional Ethics Given the high‑sensitivity nature of the Executive Office, the Executive Assistant must: • Uphold absolute confidentiality in all matters, including personnel, financial, strategic, and commercial topics. • Demonstrate impeccable ethical judgment, discretion, and trustworthiness. • Protect executive‑level documentation, data, and communications from unauthorized disclosure. • Ensure compliance with corporate policies, data privacy standards, and legal obligations. • Act as an ambassador of professionalism and integrity in all interactions. Education • Bachelor’s Degree or above. Experience Requirements • Minimum 5 years of solid Executive Assistant experience supporting C‑suite or senior regional leaders. • Experience in MNCs or sizeable organizations preferred. Technical Skills • High proficiency in Microsoft Office (PowerPoint, Excel, Outlook, Teams). • Experience with SAP preferred. • Strong document formatting, presentation, and data‑handling capability. Mobility / Travel • Occasional travel may be required. Language • Strong command of written and spoken English; additional Asian languages a plus.
