Job Description
We are seeking a reliable and detail-oriented Executive Administrative Assistant to support our team with comprehensive travel planning and on-the-ground administrative assistance. This role involves managing travel arrangements, restaurant bookings, and acting as a travel secretary during business trips to coordinate meetings and logistics.
Key Responsibilities
• Arrange domestic and international travel, including flights, hotels, ground transportation, and travel itineraries.
• Make restaurant reservations and assist with scheduling business-related meals.
• Accompany executives on business trips to provide secretarial and logistical support throughout the journey.
• Coordinate and manage meeting schedules, venue bookings, and any necessary materials or equipment.
• Communicate with internal and external stakeholders to ensure smooth execution of travel and meeting plans.
• Provide real-time assistance during business travel, including itinerary adjustments, translation, and local coordination.
• Handle expense reports and travel reimbursements post-trip.
• Perform other administrative and coordination tasks as required by the executive team.
Requirements
• Proven experience in travel coordination or executive assistance.
• Willingness and ability to travel on short notice, including internationally.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Professional demeanor, discretion, and reliability.
• Proficiency in English and Chinese is preferred.
• Familiarity with travel platforms and tools (e.g., booking systems, itinerary apps).
