Senior Executive Assistant, Surgical & Specialised Services

Overview This role entails being the main coordinator in the team to manage onboarding processes, inventory management, call roster, team meetings, events and resource distribution. Staff will also be an important pillar of administration through providence of support, contributing to smooth operations of the department. Job Responsibilities You will be responsible for the following: • Support onboarding and off boarding process of clinicians and department staff, including access applications. • Manage IT assets under the department and maintain master records of access related matters. • Prepare and verify claims for overtime, night allowances, honorariums, leave and petty cash for department staff. • Manage and plan rosters of clinicians, with uploading into system. • Co-ordinate meetings, book venues, collate agenda and arrange for catering requirements when necessary. • Collation of data required by the department for purposes of cost management and improvement. • Procurement of common items used by the department, maintaining a master inventory list. • Manage mailbox for the department, including dispatch to respective clinics. • Manage the Director’s/ Clinical leads’ calendars as required. • Perform any other duties assigned by supervisor. Requirements • GCE ‘A’ or Diploma in any field • Minimum 2 years of experience in clerical and administrative duties. • A good understanding of accounting and figures. • Good computer skills in Word, Excel and Power Point. • Good communication and interactive skills. • Able to work independently.
