Now we are hiring an Executive Assistant to support Amgen Southeast Asia General Manager based in Singapore. Live What You Will Do Let’s do this! Let’s change the world! In this vital role the Executive Assistant will be responsible for performing senior level administrative support activities for the General Manager (GM) for Amgen Southeast Asia (SEA) • Work assignments are complex in nature requiring absolute discretion as well as considerable tact, judgment, creativity and initiative. The Executive Assistant must be able to manage several priorities in a constantly evolving environment. • Specific responsibilities include coordinating workflow by reviewing email and other correspondence and determining importance prior to distributing to the executive, screening and directing incoming calls/ correspondence/ visitors and answering questions/furnishing information thus optimizing executive focus on strategic priorities. Work should be directed to the GM’s direct reports where appropriate; this requires knowledge of the organizational structure and responsibilities of each of the GM’s direct reports. Key aspects of this position include: • Effectively managing the calendar and domestic and international travel arrangements against dynamic business requirements; preparing the GM with pre-read and briefing documents in advance of daily meetings and appointments. • Anticipating the GM’s needs and shifting business priorities, proactively identifying actions, risks, and support required to ensure time, focus, and resources are aligned to the most critical objectives. • Reviewing, prioritizing and flagging high priority communications (e-mails and documentation) for timely and appropriate response. • Timely and efficient processing of expense reports and other financial documents as required; manage logistics and performing key tasks for a variety of business meetings (senior leadership team meetings/dinners, on sites, all staffs), preparing agendas, meeting materials/business documents, presenters, and tracking action items; reporting on the status of assignments. • Interpreting and relaying pertinent issues related to the day-to-day business. • Acting as a liaison between the GM’s peers and groups under the responsibility of the GM. • Building strong working relationships with Corporate Communication, Human Resources and other Amgen groups which support the GM’s organization. • Accountable point of contact for the Amgen JAPAC regional HQ office and management. • Additional support activities include independently preparing and processing complex or technical material/reports/forms using a wide variety of text editing software and managing features (formatting, editing, deleting, updating, etc.), creating, testing and implementing Microsoft Word macros and templates, and assisting supervisor in coordination of management issues, (i.e., annual reviews, organization/department/staff goals and objectives). Basic Qualifications: • Master’s degree OR • Bachelor’s degree and 2 years of administrative support experience OR • Associate degree and 6 years of administrative support experience OR • High school diploma / GED and 8 years of administrative support experience Preferred Qualifications: • Bachelor’s Degree • 10 years of administrative support experience is required with at least 5 of those years supporting an executive level leader • Demonstrate proactive thinking and anticipation of business needs and requirements. • Manage a multitude of tasks and comprehend the subject matter of each task. • Demonstrate expert knowledge of computer software (word processing, graphics, presentations, spreadsheets etc.), excellent communication skills (verbal and written), and excellent phone etiquette. • Advanced ability to navigate Amgen’s systems and processes. • Effective “gatekeeper” in managing GM’s access and availability. • Politely interrogate meeting requests and understand meeting objectives to ensure executive’s time is well spent • Detail oriented. • Demonstrate interpersonal skills to effectively grow and maintain professional • relationships, partner with colleagues, and achieve required business outcomes. • Demonstrate discretion and ability to manage confidential information. • Demonstrate strong abilities in prioritizing, organizing, and...
